1. About this policy
This policy applies to everyone who uses Orbis Chat, which is provided by Orbis Digital Ltd ("we"). It forms part of our Terms & Conditions. You are responsible for what you and your agents send and publish, including when AI helped to write it.
2. Lawful use
You must use Orbis Chat lawfully. Among other things, you must:
- follow UK GDPR and the Data Protection Act 2018 when you handle personal data, including telling visitors how their chat data is used;
- follow PECR when you send marketing messages or use storage on a visitor's device;
- follow advertising and consumer law, including the CAP Code;
- not publish fake or misleading reviews, which are prohibited by the Digital Markets, Competition and Consumers Act 2024;
- hold the rights to the text, images and files that you upload and share;
- follow any extra rules that apply to your sector.
3. Prohibited content
You must not use Orbis Chat to send or publish content that:
- is illegal, or encourages illegal activity;
- is fraudulent or deceptive, including scams, phishing and impersonation (see also the Fraud Act 2006);
- is hateful, harassing, threatening or discriminatory;
- sexually exploits or endangers children, or is sexually explicit;
- promotes violence, terrorism or self-harm;
- infringes somebody else's intellectual property or privacy;
- spreads false information that is likely to cause harm.
4. Websites and accounts you connect
Only add the widget to websites you are authorised to manage, and only connect messaging accounts that you are authorised to use. If you manage them for a client, you must have the client's permission. Remove access when somebody no longer needs it, and do not share logins.
5. Channel rules
You must also follow the terms and policies of any channel you connect, including Telegram, WhatsApp Business, Facebook Messenger and Twilio. You must not use Orbis Chat to send spam or unsolicited bulk messages, or to evade a channel's limits or enforcement. Channels may take action against your accounts under their own rules, and we cannot control that.
6. Using AI features responsibly
AI output can be inaccurate. You must check the material the bot answers from and review AI-drafted replies before approving them. You must not use AI features to generate content that this policy prohibits, or to deceive people about who is speaking.
7. Technical misuse
You must not try to gain unauthorised access to Orbis Chat or to other customers' accounts (see the Computer Misuse Act 1990), interfere with the service, introduce malicious code, scrape or reverse engineer the service, or use it to build a competing product.
8. Monitoring and enforcement
We may investigate suspected breaches. If we reasonably suspect a breach, a security risk or unlawful content, or if a channel provider or regulator tells us to act, we may remove access to content, or suspend or close accounts. Where appropriate, we will tell you what we have done and why. We may report illegal activity to the authorities.
9. Reporting abuse
To report misuse of Orbis Chat, email support@orbisdigital.co.uk or call 0330 223 7919, including a link to the content where you can.
